Ice for Festivals & Events: A Planning Guide
For festivals, corporate events and pop-up bars, ice is a logistics job. Plan it like one and it won't let you down.
1. Estimate how much you need
Start from drinks: about 0.5–1kg of ice per guest for drinks, up to 1.5kg on hot days or when chilling bottles and cans in tubs. Add crushed ice for cocktail bars. For multi-day events, work it out per day.
2. Plan storage on site
- Freezer trailers or chest freezers are ideal; insulated coolers work for a day.
- Keep ice out of direct sun and off hot ground.
- Keep ice for drinks separate from ice used to chill bottles.
3. Time your deliveries
Rather than one huge drop, split deliveries across the event if you can. Choose a morning or afternoon slot that matches your setup crew, and make sure someone is on site to receive it.
4. Checklist
- Delivery address, access point and contact name
- Where the ice will be stored
- Who refills the bars, and how often
- A buffer of extra boxes for a heatwave
